Optimovo Ltd ("we," "us," "our") operates the Optimovo Voice AI receptionist service. Our service answers inbound phone calls on behalf of equipment rental businesses and forwards caller details to the business via SMS or WhatsApp notifications.

Information We Collect
We collect the following information in the course of providing our service:
- Caller information: Phone number (via caller ID), name, company name, and details provided during the call such as equipment requested, rental timeline, and location.
- Call recordings and transcripts: Calls handled by our AI receptionist are recorded and transcribed to generate accurate summaries for the business.
- Business client information: Contact details, phone numbers, and notification preferences provided by businesses that subscribe to our service.
- Website visitor data: When you visit our website or use our demo, we may collect IP address, browser type, pages visited, and demo interaction data.
- SMS/WhatsApp notification data: Phone numbers of business staff who receive call notifications, message delivery status.
How We Use Your Information
- Service delivery: Processing calls, generating summaries, and sending notifications to the subscribing business.
- Service improvement: Analyzing call patterns and transcripts to improve AI accuracy and response quality.
- Communication: Sending SMS or WhatsApp notifications containing caller details to designated business staff.
- Support: Responding to inquiries from businesses or callers about the service.
Information Sharing
We share information only as necessary to provide our service:
- Subscribing business: Caller details (name, phone, equipment request, timeline) are forwarded to the business that the caller is trying to reach. This is the core function of our service.
- Service providers: We use third-party services to operate our platform:
- Retell AI - voice AI processing and call handling
- Twilio - SMS and WhatsApp message delivery
- Airtable - call record storage
- Vercel - website hosting
- Legal requirements: We may disclose information if required by law, regulation, or legal process.
We do not sell personal information to third parties.
Data Retention
Call recordings, transcripts, and caller details are retained for the duration of the business client's subscription plus 90 days. Website visitor data is retained for up to 12 months. Business clients may request deletion of their data at any time.
SMS and WhatsApp Messaging
Our service sends transactional SMS and WhatsApp messages to business staff. These messages contain caller details from inbound calls. Each recipient enrolls individually by visiting optimovovoice.com/sms-consent and submitting their own phone number with explicit consent.
- Messages are transactional notifications, not marketing communications.
- Recipients can opt out at any time by replying STOP to any message.
- Message frequency depends on inbound call volume - typically 1 to 20 messages per day.
- Standard message and data rates may apply.
We collect mobile phone numbers solely for the purpose of delivering call notification messages. Mobile opt-in data and consent information will not be shared with or sold to third parties or affiliates for marketing or promotional purposes. Information may be shared with service subcontractors (such as our messaging provider, Twilio) solely for the purpose of delivering notifications.

Security
We use industry-standard security measures to protect your information, including encrypted data transmission (TLS/SSL), secure cloud infrastructure, and access controls. However, no method of transmission or storage is 100% secure.
Your Rights
You may request access to, correction of, or deletion of your personal information by contacting us at info@optimovo.com. If you are a caller whose information was forwarded to a business, you may also contact that business directly.
Children's Privacy
Our service is not directed at individuals under the age of 18. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this privacy policy from time to time. Changes will be posted on this page with an updated effective date. Continued use of the service after changes constitutes acceptance of the revised policy.
